Physical Verification

Annual count done by scanning, not paper.

Every asset in the hospital — registered once, tracked forever.

Each asset is registered in ZenoHosp with its details — category, make, model, serial number, purchase date, cost, and depreciation rate. A barcode or QR code label is printed and affixed. From that moment, the asset is tracked through every transfer, maintenance event, and verification.

  • Asset category, make, model, serial number, and purchase details
  • Barcode or QR code label printed from ZenoHosp at registration
  • Current department, location, and responsible custodian tracked
  • Asset photos attached at registration

Every asset location known. Every transfer documented.

When an asset moves between departments, the transfer is recorded in ZenoHosp — with the transferring department, receiving department, authoriser, and date. Both departments see the transfer in their asset list. Assets that haven't been scanned in their expected location for 30 days are flagged.

  • Transfer recorded with transferring dept, receiving dept, and authoriser
  • Both departments see updated asset list after transfer
  • Location last-verified date tracked per asset
  • Assets not scanned in 30 days flagged as potentially unlocated

Annual asset count done by scanning — not paperwork.

Annual physical verification is initiated in ZenoHosp as a verification cycle. Staff scan asset barcodes with a mobile device. ZenoHosp matches scanned assets against the register — found, not found, or new/unregistered. The discrepancy report is generated automatically.

  • Verification cycle initiated from ZenoHosp by the asset manager
  • Staff scan barcodes using mobile device camera
  • Scanned vs. register: found, not found, new/unregistered
  • Discrepancy report generated automatically for audit

Frequently asked questions

How are assets tracked using barcodes?

Each asset has a barcode or QR code label printed from ZenoHosp at registration. When the asset is transferred, scanned for verification, or maintained, the barcode is scanned to identify the asset. A mobile device camera can be used for scanning.

How does ZenoHosp handle inter-department asset transfers?

Transfers are recorded in ZenoHosp with the transferring department, receiving department, authoriser, and date. Both departments see the updated asset list immediately after the transfer is confirmed.

How does the annual physical verification work?

An asset manager initiates a verification cycle. Staff walk the hospital with mobile devices, scanning asset barcodes. ZenoHosp generates a real-time discrepancy report showing found, not found, and new unregistered assets.
